Part Time Receptionist


Position Summary

The United States Ski and Snowboard Association receptionist is responsible for greeting employees and visitors and for answering phones in a friendly, professional manner. Provides administrative assistance to Insurance/ HR Administration Manager and Director of HR/Administration.


Primary Duties


Reception  - Creates and maintains Receptionist protocol assuring it is in line with USSA values and mission. Coordinates with volunteers to welcome Center of Excellence visitors and direct them to the appropriate person or place and to answer phones or staffs the reception desk personally.

  • Signs in all visitors and assures appropriate access of building. Assists donors, customers, vendors and staff locate in-house personnel when appropriate.
  • Trains substitute, volunteer, and intern receptionists in use of phone system.  Revise and maintain Front Desk manual.
  • Coordinates Front Desk Lunch Schedule with department Administrative Assistants.
  • Responsible for making sure there is a competent person at the reception area during business hours including arranging sick time and vacation coverage of reception area.
  • Maintains a “staff where-about” list and to the extent possible; tracks who is in and out of the Center of Excellence.
  • Assists walk-in visitors with purchase of DVDs, coaches' education materials, and merchandise. Coordinate forms, pricing and stock with Marketing and Education department.
  • Maintains log of waivers and insurance information for approved visitors to gym. Coordinates with VP of Athletics when visitors that are not on approved list request access.



  • Responsible for answering all incoming phone calls and either transferring calls to the appropriate location or answering questions asked.  Transfer messages left on afterhour's voicemail to the appropriate person.


Conference Room Scheduling

  • Accepts or declines appointment requests. Notify staff of scheduling conflicts and reschedule meetings as necessary. Forwards faxes from main and executive faxes to appropriate person.



Assist Insurance / HR Administration Manager


  • Club Liability Insurance Program – Assist with Club Liability Insurance Program's membership audits, assist with clubs Certificates of Insurance, correspondence and mailings as directed.


  • Assist HR Director and Insurance /HR Admin Manager with miscellaneous tasks as requested.


  • Assist other departments as time allows.





  • Miscellaneous responsibilities include RSVP contact for staff functions, Locating PSR manager for contractors and repairmen, signing for deliveries in PSR manager's absence. Coordinates with accounting department regarding loan and return of gold passes, ordering flowers for staff births, illnesses, staff family deaths in the absence of the HR Director. 


Required skills

Experience with multiple line PBX switch.  Computer literacy.   Pleasant, professional attitude.   Good knowledge of USSA structure essential. Excellent computer skills with Microsoft Word, Excel, and Outlook. Good grooming and semi-professional dress are recommended for this position.


Responsible to

Reports directly to the Insurance/HR Administration Manager, indirectly to Director of Human Resources/Administration.


General Working Conditions

25 hours weekly, Schedule to be arranged during standard office hours Monday through Friday.. Part-time hourly, year-round position.
